Finance Systems Review
Stop re-keying the same numbers into three systems.
“Where do our numbers get re-typed, lost or out of step between our systems, and what is fixing it worth?”
What it is
An independent map of how the numbers move through the business, from quote or sale to the bank and the accounts, showing where they are re-keyed, where they disagree and what connecting them properly is worth, with a prioritised plan the owner can act on.
A map of every app the business uses (accounting, CRM, POS or online store, payroll, job or stock software), where numbers are re-keyed or disagree, and a prioritised, vendor-neutral fix list with the hours each fix saves. Works with Xero, MYOB and QuickBooks.
When clients call us
The team re-keys the same numbers into two or three systems, month-end takes too long, reports don't match, the business has outgrown spreadsheets, or the owner is about to buy new software and wants an independent view first.
What you receive
- System and data-flow map: every app, what it holds and how numbers move between them
- Chart of accounts and tracking review: can the setup produce the reports the owner needs
- Prioritised fix list with the hours each fix saves and indicative cost, ready-made connectors first
- 60-minute walk-through with the owner and, if wanted, their bookkeeper or accountant
What we’ll need from you
A one-page checklist comes with the engagement letter, with a private page to upload everything. The main items:
- List of every business app in use (accounting, CRM, POS or online store, payroll, rostering, job or stock software, key spreadsheets) and who uses each
- Adviser or read-only access to the accounting file (Xero, MYOB or QuickBooks)
- Chart of accounts and tracking categories export
- The last 3 months' management reports as the owner receives them now
- A short description of month-end: who does what, and how long it takes
- Current software subscriptions and their monthly cost
- Any apps or connectors already linked to the accounting file
Not included
Does not include building or maintaining integrations, data migration, bookkeeping, IT security or software support, and no product is recommended for a commission. Recommendations are vendor-neutral; implementation sits with the client, their bookkeeper or a specialist integrator.
Common questions
How much does a finance systems review cost?
$2,950 plus GST ($3,245 including GST), a fixed fee, delivered in about two weeks from complete information.
What do you need from us?
A list of every app the business uses and who uses it, adviser or read-only access to your Xero, MYOB or QuickBooks file, the chart of accounts, the last three months' management reports, a short description of how month-end works, your software subscriptions, and the three reports you most wish you had. A one-page checklist sets out the full list.
How long does it take?
About two weeks from receiving the information, finishing with a 60-minute walk-through of the map and the fix list with you and, if you like, your bookkeeper or accountant.
Will you set up the connections for us?
No. We recommend ready-made connectors first and, where something has to be built, can refer you to a specialist integrator. Implementation isn't included: the fix list is written for you, your bookkeeper or an integrator to act on, with the hours each fix saves.
