“Have we outgrown Xero or MYOB, and if so, which system is worth it, and what will it really cost over five years?”

What it is

An independent business case for moving off, or staying on, Xero or MYOB: the requirements written down, a vendor-neutral shortlist, the full five-year cost of ownership, and a recommendation the owner can take to the board or the bank.

Requirements written with your team, a vendor-neutral shortlist with scripted demos, a five-year cost of ownership model and a recommendation you can take to the board or the bank. No commissions or referral fees from any vendor.

When clients call us

The business is outgrowing its accounting software, spreadsheets are holding operations together, several vendors are pitching an ERP, or a major system spend needs to be justified before it is signed.

What you receive

  • Requirements register built with the people who will use the system
  • Vendor-neutral shortlist of two to four options, with scripted demos and scoring
  • Five-year total cost of ownership and business case model, unlocked
  • Recommendation report and a 60-minute presentation to the owners or board

What we’ll need from you

A one-page checklist comes with the engagement letter, with a private page to upload everything. The main items:

  • Current systems list with users, costs and contract end dates
  • Organisation chart and the key person for each process
  • The last 2 years' financial statements and this year's budget
  • Monthly volumes: sales invoices, supplier bills, orders, stock lines and employees
  • Known pain points and workarounds (spreadsheets, re-keying, delays)
  • Any vendor proposals or quotes already received
  • Growth plans for the next 3 to 5 years (sites, entities, headcount)

Not included

Does not include implementation, project management of the rollout, data migration or contract negotiation. Wickham Advisory takes no commission or referral fee from any vendor. Vendor pricing is indicative until the vendor quotes.

Common questions

How much does system selection cost?

$6,000 to $12,000 plus GST ($6,600 to $13,200 including GST), scoped to the systems, sites and people involved and confirmed in the proposal before work starts.

What do you need from us?

Your current systems with their users, costs and contract end dates, who runs each process, the last two years' financial statements and this year's budget, monthly volumes (invoices, bills, orders, stock lines and employees), the workarounds your team relies on, any vendor quotes already received, and your budget range and decision timeline. A one-page checklist sets out the full list.

How long does it take?

Three to five weeks, depending on how many options are shortlisted and demonstrated, finishing with a 60-minute presentation of the recommendation to the owners or board.

Do you take commissions from software vendors?

No. Wickham Advisory takes no commission or referral fee from any vendor, so the recommendation, including a recommendation to stay on Xero or MYOB, is independent. Implementation, data migration and contract negotiation aren't included.
